Position: Accounting and Contracts Coordinator
Reports To: Associate Operations and Contracts Director
Role Overview: The Accounting and Contracts Coordinator will support the Associate Operations and Contracts Director in managing day-to-day accounting operations (Accounts Receivable/Accounts Payable), work with subcontractors, and provide administrative support to the RIT staff.
Key Responsibilities:
Accounting and Data Entry:
Manage and create bills, expenses, and invoices in QuickBooks Online.
Reconcile purchase requests and consolidate them in QuickBooks.
Reconcile deposits recorded in Quickbooks and Salesforce.
Perform credit card reconciliations with bills and expenses in QuickBooks.
Handle accounts receivable, including deposits and donations in QuickBooks.
Prepare and evaluate invoices for subcontractors, ensuring accuracy and compliance.
Execute various accounting and administrative tasks such as calculations, problem resolution, and account reconciliations.
Contracts
Communicate with subcontractors and coordinate invoices and payments
Prepare subcontracts and amendments for review and signature.
Support preparation and updates of program and subcontractor budgets.
Provide support in administering and overseeing contracts and fiscal reimbursement to service providers/subcontractors.
Follow fiscal requirements, including documenting all expenses for RIT and service providers/subcontractors
Track contract status and coordinate internal approvals and external signatures.
Maintain accurate and organized contract files and archives.
Other Support:
Assist staff in filing and submitting monthly reimbursements and expenses.
Assist staff with completing timesheets
Assist with the distribution and tracking of relief funds
Support other fiscal and data entry, contracts or administrative duties as assigned.
Qualifications:
Minimum 2 years of experience in Accounts Payable using QuickBooks Online.
At least 2 years of experience in data entry, data analysis and reporting via Excel/Google Sheets
Minimum 2 years of administrative support.
Proficiency in Microsoft Office Suite and Google Office products
High school diploma or equivalent.
Ability to work well independently and with minimal supervision.
Ability to get along with others, including showing respect and empathy, managing emotions, being a team player, and fostering a positive and collaborative environment through open communication and understanding.
Flexible and able to adapt to a changing environment.
Ability to maintain regular and reliable attendance.
Preferred Qualifications:
Strong experience in excel including pivot tables, VLOOKUPs.
Familiarity with general accounting principles.
Experience in roles requiring attention to detail and confidentiality.
Competency in relevant software, including QuickBooks.
Strong mathematical and numerical skills.
Exceptional organizational and time management skills.
Excellent communication skills, both written and verbal.
A Bachelor's degree in Accounting or Business Administration is advantageous.
Time Commitment: Up to 40 hours/week (on an hourly basis).
Compensation: $28.00-$30.00 per hour (non-exempt position) based on skills and experience. Full benefits package including health, dental, vacation, sick time, retirement, and some paid holidays.

Location: Main office at 870 Market Street, Suite 558, San Francisco, CA 94102, and remote (approximately 3 days in the office and 2 days remote)
